Is Qualiomatic right for you?
What the application does, what it does not, and what we answer to the objections we hear most often.
Right for you if…
- You are a registered training organization, in the “Actions de formation” category, alone or with several trainers.
- You want day-to-day management (sessions, documents, attendance, questionnaires) to produce the Qualiopi file, instead of coming back to it the day before the audit.
- You are fine working in a browser, with trainees signing from their phone when they can, on paper otherwise.
- You prefer public prices, a monthly subscription with no commitment and data you can take out at any time.
Not for you if…
- Your activity is solely skills assessments, VAE or apprenticeship (CFA): those categories are not covered.
- You are first looking for a quoting and invoicing tool: Qualiomatic does not do that.
- You need a self-paced, modular e-learning path: this is not an LMS.
- You require a custom domain name for your website, or built-in video conferencing.

The spreadsheet and the Drive
What works
Free, flexible, and you built it yourself: nobody knows it better than you.
What breaks
A cell proves nothing: no time, no author, no link to the document. The evidence lives elsewhere (e-mails, scans, binders), and nobody but you could pull it together.
With Qualiomatic
The same entry produces the document and the evidence; each indicator’s status is computed on what was done. And every list exports to CSV: the spreadsheet stays available.
A general training-management software
What works
Everything in one place, often down to quotes and invoices, for organizations of every size.
What breaks
The indicator often remains a box to tick: the tool knows you said “done”, not that it is proven. And re-entering data for each session is still re-entering.
With Qualiomatic
We do neither quotes nor invoices, and we say so. In exchange, an indicator’s status is measured on real evidence, the mock audit draws a sample and grades the file, and what is decided once (standard schedule, hours, templates, questionnaires) flows down to every session.

What works
They know the framework, they have seen other audits, they design a system that holds.
What breaks
They are not there between two visits, and that is where evidence gets lost: an unsigned sheet, a forgotten follow-up evaluation, an undated monitoring entry.
With Qualiomatic
The tool keeps their system alive day to day, and shows them what is missing. Invite them as an administrator to set up templates with you, or as an auditor to review the file read-only, data anonymized.
What we hear, and what we answer
“My spreadsheet and my Drive are enough.”
For managing, yes. For proving, no: a cell has no time, no author and no link to the document. Here, the session you plan produces the agreement, the attendance and the certificate, and the indicator’s status is computed on what was done.
“I do not have time to re-enter everything.”
One session is enough to begin: the organization, one course sheet, the first session, and the documents come out within the hour. Trainees import from CSV; the history stays in the previous tool, the sessions ahead are what count for the next audit.
“My trainers will not adopt yet another tool.”
Three screens are all they need: the attendance grid, the materials, the questionnaires, from a phone in the room. What they gain shows from the first session: no more sheet to scan.
“Not all my trainees have a smartphone.”
They do not need one: the trainer marks who is present, the sheet prints as a fallback, and questionnaires open from an e-mail link with no account. The trainee portal stays optional.
“Will the auditor accept digital attendance?”
The framework prescribes no format; it asks for proof of presence. Each signature is timestamped by our servers within the slot’s window, with IP address and device, and a read-only auditor role leaves them free to check it themselves.
“I am already certified, my audit is far away.”
The surveillance audit samples sessions run since the previous one: each held without solid evidence cannot be fixed later. And on 1 November 2026 the framework moves to 33 indicators; the application switches on the date.
“What if you shut down? What happens to my evidence?”
You do not have to wait to get it back: lists as CSV, documents and archives downloadable at any time. The processing agreement provides for the return of everything for thirty days after the subscription ends, and the subscription is monthly with no commitment.
“It is too expensive for a solo trainer.”
With one or two sessions a year, stay on the free plan: it stays free. Beyond that, the subscription replaces sending by hand, scanning sheets and days of audit preparation, with no commitment and a return to the free plan possible without losing anything.
What Qualiomatic does not do
Said before sign-up rather than discovered after. For each gap, what we do instead.
Quotes and invoices
No quote or invoice comes out of the application. The session price feeds the agreement and the annual report; your invoicing tool stays in place, and lists export to CSV for your accountant.
CPF, OPCO and France Travail funding files
No connection to EDOF or to the OPCO platforms. Each client’s funder breaks down the annual report, the commissioning party has an online space, and thirty funder sheets describe the steps.
A custom domain name
Your public website is served under “qualiomatic.fr/of/your-organization”. If you already have a website, link to it from your “Courses” menu.
Video conferencing
Your video tool’s link goes into the materials; remote attendance, on the other hand, is covered, with a room code and presence check in the Pro plan.
The other categories of the framework
Skills assessments, VAE and apprenticeship are not covered. The scope is the “Actions de formation” category.
A guarantee of certification
No tool can give it. The audit is still conducted by an accredited certifying body, independent of us, which alone decides.
Qualified electronic signature
The agreement is signed online on a pad, with time, IP address and document fingerprint: a simple signature under eIDAS, not a qualified signature through a trust service provider.
